iCal smart lock automation for any booking calendar.
If your bookings live in a calendar that exports an iCal link, your guests can get automatic door codes. No channel-specific integration, no API approval, no waiting for your PMS to add your lock.
The one format every platform speaks.
Most lock integrations are built channel by channel, and Airbnb usually comes first and last. iCal is the calendar format Airbnb, VRBO, Booking.com and nearly every PMS and booking engine already export so channels can block each other's dates. Lock Orchestrator reads that same link.
That means one approach for every source:
- Airbnb, VRBO and Booking.com listings
- PMS and channel managers such as Hospitable, Guesty, Lodgify and OwnerRez
- Direct-booking websites and booking engines
- A shared calendar you keep by hand, as long as it publishes an .ics link
From calendar entry to code on the door.
| In the feed | What happens |
|---|---|
| A new booking | A PIN is chosen and scheduled. It's written 60 minutes before check-in and verified on every lock at the property. |
| Guest phone digits | Used as the PIN when present (Airbnb includes the last 4). Otherwise a stable code is derived from the booking. |
| Changed dates | Picked up within 15 minutes; the code's schedule moves with the stay. |
| A booking disappears | Treated as a cancellation, and the code comes off the lock right away. |
| The whole feed comes back empty | Not trusted on its own. It must repeat before anything is removed, and in-progress stays are protected. |
| "Not available" / "Blocked" entries | Recognised as calendar blocks and skipped. No code. |
| The link stops responding | Retried quietly; a warning badge appears only after repeated failures, so one blip doesn't cry wolf. |
What iCal doesn't include.
iCal is mostly a dates format. When a feed has no times, check-in is taken as 3:00 PM and checkout as 10:00 AM in the property's time zone; you can edit any reservation's times. Guest names and phones depend on the platform: Airbnb includes phone digits, many others include neither. Codes still work without them; the PIN just comes from the booking instead of the phone.
Feeds are refreshed every 15 minutes, so a same-hour booking may need a manual activate from the dashboard. Where to find each platform's iCal link.
A smooth arrival matters to your guests and your business. An unresolved access problem can mean lost booking income and additional cancellation or relocation costs. Lock Orchestrator checks code updates through your hub, retries failed attempts and sends email alerts to help you catch problems before arrival. How this helps, and what booking-platform policies say.
Questions, answered.
How often is the calendar checked?
Every 15 minutes. New bookings, date changes and cancellations are picked up on the next check.
What if my calendar has owner blocks or blocked dates?
Blocks such as "Not available" or "Blocked" are recognised and skipped. They never get a code.
Where does the PIN come from?
From the last 4 digits of the guest's phone when the feed includes it (Airbnb does). Otherwise a 4-digit code is derived from the booking itself, so it stays the same for that booking every time. It is shown on the reservation in your dashboard.
What happens when a guest cancels?
When a booking disappears from the calendar feed, Lock Orchestrator marks it cancelled and removes the PIN from the lock right away instead of waiting for the original checkout. An empty feed has to repeat before anything is removed, and a stay already in progress is left alone, so a calendar hiccup cannot lock out a guest who is inside.
